Case Study - Data Centre Relocation

Following the successful completion of several IT projects which were delivered within strict SLA’s which resulted in no reported incidents, came within budget and were delivered across the UK on time, whilst comprising straight forward deliveries and complex requirements and on some specific occasions providing scaffolding, cranes, high Abs etc.

A world-wide Information Technology company selected Luna to undertake the transfer of its three data centres to a single centre in 2014.

To achieve this, Luna set up a dedicated team under the supervision of the Operations Director.
A three person team consisting of a “Transport Manager, Contracts Manager and Technical Centre Supervisor,” were to work closely with the client at the very start to fully understand the clients detailed requirements to cover:

Planning, Storage, Scheduling and Final mile relocation.

Planning:
Working closely with the customer’s project management team to plan each and every rack move of shelf and units plus cable disconnection, labelling and packing. The team were also required to take into account individual site surveys carried out by the Luna site survey team.
 

 

 

 

Site Surveys:
The survey requirements ranged from a simple survey to cover a delivery/ collection to a complex survey with RAM’s, photographs and sketches of the route etc.
 

 

 

 

Scheduling:
All work is scheduled to take into account:
  • Number of manpower defined by the site survey
  • Type of vehicle required due to weight of ATM’s & road restrictions
  • The individual skills of the crews to meet the various projects and site requirements.
  • Arranging the trunking to and fro from Luna HQ to final mile delivery sites.
  • Arranging parking dispensation, specialist equipment and tools.

 

 

Delivery / Collections - Luna provided PES cleared staff to support the total rollout. Each carried a work passport identifying them in line with the customer’s security protocol. All our staff have received Asbestos Awareness training and manual handling training.

In line with the agreed schedule the crew arrived at each site and the team leader introduced themselves to the site contact. The team leader then walks the route with their team and goes through the process as each site is different.

Each rack to be collected is checked for correct serial number and model, labelled and bubble wrapped for safe transportation before placing onto a pallet. The cables were removed in line with the provided script from the customer, labelled and bubble wrapped.
The racks and accessories were loaded into specialist box vehicles with load locks to safely transport the goods. The vehicles being dedicated to the sites in the schedule returned directly to the receiving depot so no cross docking occurred to ensure full and complete security. All vehicles could be GPS tracked.
Positive feedback was the result of this very successful re-site of equipment valued at £4million to which Luna provided at the customer’s request, cover at 100% fully comprehensive.
